DECEMBER 2009 MEETING MINUTES
linebkrndThe Dec. 8, 2009, Christian Missionary Fellowship meeting was called to order by Ed Lykins; the monthly meeting was held at the home of Scott and Nancy Mays. The opening prayer was given by Bill Christman, and Scott Mays read from Psalm 90:12-17, which tells how man depends on God for everything he has. God’s compassion and love is why man has joy and gladness in life. Because God finds favor in us we do his work so others can see Him through us.

Members in attendance included: Ed Lykins, Steve and Sue Johnson, Ronnie Anderson, Mark and Lisa St. Clair, John Hendrix, Carol Thatcher, Dennis Forsythe, Cheryl Jennings, Denzel Anspach, Jim Tutt, Scott and Nancy Mays, Bill Christman, Doug Ford, Fred and Clarine Tracy, Terry Parker, Sharon Witherington, and Melissa Cooper.

SECRETARY’S REPORT
Copies of the November Secretary Report were made available to the group. The report were read into the December meeting minutes. Lisa St. Clair made a motion to accept the report as read; John Hendrix seconded the motion, which was passed by the group.

TREASURER’S REPORT
Treasurer Steve Johnson reported the Fellowship bank balance totals $24,198.24. The Fellowship sent $1,517 to Sainsurin Baptiste: $517 was sent directly to Baptiste on behalf of the Hollowtown Church, and the additional $1,000 was sent to enable him to order and pay for sand and concrete to be used for the 2010 work trip. A total of $9,407.84 was sent to World Missions to cover the cost of team member's airline tickets. Other expenses included miscellaneous items, building supplies and tools that will be taken to Haiti in January.

Johnson collected the final payment for team members going to Haiti and urged those with outstanding balances to remit those as soon as possible. A motion to accept the report was made by Carol Thatcher; Mark St. Clair seconded the motion, which was passed by the group.

OLD BUSINESS
Ed Lykins read emails he has received from Sainsurin and other ministers in Gonaives, Haiti. Sainsurin reports how the monies he received has been spent on building supplies and how thankful he is to Hollowtown for their offering.

Everyone needs to take Malaria tablets before going on the work trip. If anyone would like Ed Lykins to order their tablets at wholesale please let him know soon.
 
Hepatitis A and B shots were discussed. Everyone traveling should be up to date on these shots for there own safety.
 
Discussion followed about building supplies, tools needed, scaffling to be built on work site, sleeping arrangements, air mattresses, and mosquito nets. Information about each subject was shared and all areas were understood.
 
Everyone is to bring their packed luggage to the next meeting to get an accurate weight on it. Items can be added or taken out to bring bags to the 48# allowed.
 
The food items to be taken for the meals will be packed and weighed before the January meeting. There will be a light noon meal and a larger evening meal provided each day for the work team. Depending on fresh food items such as fruit and eggs brought in by the church members will make a difference on how much breakfast is available. Those involved will need to take food items for themselves to fill in when the meals are small or not to their liking. Everyone will be advised to have something on their person to eat while traveling. Food is not available when traveling in Haiti. The five hour bus ride from Port au Prince to Gonaives is long and a snack and drink will be needed.

FINAL NOTES
The next meeting has been scheduled for Jan. 12 at 7 p.m. at Ed Lykins' shop located at 1414 Portsmouth Road near Peebles Ohio. 2010 work team participants are required to attend the meeting to obtain final trip information and to complete any remaining paperwork.

Please continue to pray for the CMF, the work teams, their families, and the Haitian people as plans are being finalized for this trip starting on January22nd and everyone back home by February 16th. We also pray for each one of you as you support this work being done in the Lord’s name.

NOVEMBER NOTE: WORK TRIP TEAM DATES

Since the October meeting, the work trip team dates have been finalized: Week #1 (Jan. 25 to Feb. 1) California Team; Week #2: (Feb. 1 to Feb. 8) Indiana Team; and, Week #3 (Feb. 8 to Feb. 15) Ohio Team. Some workers will be staying longer than one week to manage the project and facilitate its timely completion.  


OCTOBER 2009 MEETING MINUTES
linebkrndThe Oct. 13, 2009, Christian Missionary Fellowship meeting was called to order by Ed Lykins; the monthly meeting was held at Lykins' shop in Peebles. The opening prayer was given by Ron Anderson, and Fred Tracy read from Psalms 119:57-72, which details how David praised the Lord with all his heart and soul for everything he had been given as it all came from the Lord.

SECRETARY’S REPORT
Copies of the September Secretary Report were made available to the group. Dan Hildebrecht offered to read the report, and Melissa Cooper made a motion to accept the report as read; Cheryl Jennings seconded the motion, which was passed by the group.

TREASURER’S REPORT
Treasurer Steve Johnson reported on the most recent fundraisers: The 5K Race brought in a profit of $4,566.28, and food sales at the Draft Horse Field Days yielded a profit of $2,676.83, bringing total CMF funds to $31,642.17. This amount includes $5,000 set aside for the 2010 Pew Project and $517 from the Hollowtown Church to be hand-delivered to Sainsurin Baptiste when the CMF Work Team arrives in Gonaives, Haiti in January 2010. A motion to accept the report was made by Fay Cline; Carol Thatcher seconded the motion, which was passed by the group.

OLD BUSINESS
Recent Fellowship fundraisers were evaluated. Terry Parker was recognized for his role in organizing the 5K race. Additionally, Sue Johnson was commended for collecting the most sponsorship money, bringing in more than $1,100. The Draft Horse Days food booth was similarly successful with several volunteers offering assistance in a variety of areas. Both fundraisers exemplify what team members united by a shared goal can accomplish: God has richly blessed our work!

At the conclusion of this discussion, Fellowship members took a break to enjoy a time of fellowship and refreshments; the group extended its gratitude to Connie Lykins who organized the meal. During this time, the blue print of the church scheduled to be built in Gonaives was made available, prompting a lively discussion.
 
Thereafter, the group resumed the meeting and brainstormed other fundraising options, including selling food and snacks at various gatherings in the local area. Each members was asked to brainstorm additional ideas for discussion at the next meeting.

NEW BUSINESS
Based on the costs of previous projects, Fellowship leaders anticipate the cost of building the church in Gonaives will be approximately $25,000; however, a number of variable costs such as those associated with manpower, the amount of sand and gravel that will be required to level the floor, plywood and other supplies needed to complete the work remain unknown. Leaders believe Haitian labor will cost approximately $10 to $15 per day per worker, depending on the task, adding $3,000 to the project cost. An additional $2,000 is being built into the estimate, bringing the total project cost to an estimated $30,000.
 
The need to purchase a special tool to work air pockets out of the concrete, which will make construction easier and the mortar stronger when set, was brought before the group; the tool, which can be used on future work projects, can be purchased for $200. A motion was made by John Hendrix to purchase the tool; Fay Cline seconded the motion, which was passed by the group.
 
A total of five members have volunteered to organize and manage the Pew Project.
 
The estimated per person cost of participating in the 2010 work trip are as follows: airfare $880, and food, water, ice, and various items while in country, $275; the cost of in-country transportation is unknown at this time. Nonetheless, the trip cost is $1,200 per person.
 
Ed will be traveling to California tomorrow to share trip details and associated costs. After he makes contact with the California team, the trip dates will be set and promptly announced. Ed has talked with the leader of the Windfall, Indiana team and has promised to provide the same information as soon as it becomes available.

The opening prayer was offered by Jerry Bullis, and Don Thomas read from the thirteenth chapter of Timothy, which details how man is sent out to do work they have been called to do to spread the good news of our Lord to the world.

TREASURER’S REPORT
Treasurer Steve Johnson reported a current bank balance of $25,161.30, $5,000 of which has been set aside for the 2010 Pew Construction Project in Gonaives, Haiti. An offering of $571 will be hand delivered to Gonaives-based Minister Sainsurin Baptiste on the Hollowtown Church’s behalf. John Hendrix made a motion to accept the Treasurer’s Report; Fred Tracy seconded the motion, which was passed by unanimous consent.

OLD BUSINESS
Discussions regarding old business included the upcoming 5K Run/Walk. Parker detailed the list of jobs that must be done on race day and assigned them to CMF members. Dennis Forsythe showed the group the event t-shirts, which were very well received. The shirts featured the event sponsors’ names on the back and the CMF logo on the front. The group also discussed who and where the new CMF 5K Race signs would be posted; Dan Hildebrecht volunteered to post race details on the Internet as a way to boost participation.

The group also discussed the upcoming Draft Horse Days event and determined needed food items to be supplied by members. Numerous volunteers are required to successfully coordinate and execute the fundraiser; therefore, all CMF members are encouraged to take a role in the initiative.

The next monthly meeting has been scheduled for Tuesday, Oct. 13, at 7 p.m., at the home of Ed and Connie Lykins, who will host a cookout; the Lykins residence is located in Peebles at 1414 Portsmouth Rd. Any member who is interested in bringing a food item is encouraged to contact Connie; otherwise, everything will be provided.

MAY 2009 MEETING MINUTES
line bkrnd The May 12, 2009, CMF meeting was held at the Mowrystown Church of Christ with Dan Hildebrecht giving the opening prayer and Lisa St. Clair reading Romans 8:28-32. Fellowship members in attendance included Steve and Sue Johnson, Ed Lykins, Carol Thatcher, Denny Anspach, John Hendrix, Marilyn and Terry Parker, Mark and Lisa St. Clair, Cheryl Jennings, Fay Cline, Jim Tutt, Dan Hildebrecht, and Katrina Dillon.

SECRETARY’S REPORT
The April report was read into the official May meeting minutes. John Hendrix made a motion to accept the report as read. Denny Anspach seconded the motion, which passed by unanimous consent.

TREASURER’S REPORT
A report detailing the most recent CMF financials was given by Treasurer Steve Johnson; the CMF currently maintains a balance of $20,790. Lisa St.Clair made a motion to accept the report as read. John Hendrix seconded the motion, which passed by unanimous consent.

OLD AND UNFINISHED BUSINESS
Steve Johnson and Ed Lykins informed the group the IRS had granted the Fellowship’s request for
501(c)(3) status, which retroactive to January 2007 when the Christian Missionary Fellowship was established.

The group then discussed the Third Annual Summer Fundraiser, which has been scheduled for June 27, 2009, at the Glen-Dale Park, six miles south of Peebles. The group composed the list of food items required, and agreed to enclose event fliers and maps in the next mailing.

In preparation for the 2010 mission trip, the group is working to schedule a date with a local doctor to provide the final Hepatitis shot for missionaries; the time will be announced as soon as it is finalized. Relatedly, arrangements to ship a welding machine are still in process. Lykins said he needed to have a follow-up conversion with IDES missionary Bill Fudge. For example, from what locale will the welder be shipped and how many pounds of additional supplies can be included in the box? Lykins said it would be prudent to ship leads, welding rods, and other supplies with the welder. By doing so, missionaries would have additional room in their luggage, which is a premium considering the amount of supplies, equipment and tools that missionaries must transport from the United States to the work site.

Gonaives-based minister Salonique Adolphe has assured Fellowship members he will accept the welder once it arrives and store it in a safety location. With that in mind, Lisa St. Clair made a motion to purchase the welder supplies and to send the money to Salonique Adolphe to ensure he can pay the tax once it arrives in port. Cheryl Jennings seconded the motion, and the issue was approved by unanimous consent.

NEW BUSINESS
Lykins informed the group Sainsurin Jean-Baptiste is scheduled to arrive in Columbus on June 20 and will meet with several local churches from June 21, through 28; he will also attend the annual summer fundraiser. His schedule currently includes:

Information Booth at Family Camp: July 27 to 30 in Hillsboro. The group determined it was important to have a booth staffed with Fellowship members in the camp’s missions area to offer information on the organization, its previous work and upcoming projects. Carol Thatcher made a motion to pay the $50 booth fee, and Lisa St. Clair seconded the motion, which passed by unanimous consent. A booth-attendant rotation is being developed.

Fellowship members were presented a coffee mug screen printed with the CMF logo and moniker. The group discussed using the mug as a recognition for organization supporters; thusly, Carol Thatcher was asked to order an additional 12 mugs.

Finally, John Hendrix gave update on the Youth Pew Project. A formal project overview with guidelines and protocols will be approved by the CMF Board of Directors before it is presented to interested youth groups.

line bkrnd The March 10 2009, CMF meeting was held at the Peebles Church of Christ with Jim Tutt giving the opening prayer. The scripture reading, Romans 10:12, was provided by Steve Johnson. A number of Fellowship members attended the mid-March meeting, including Ed and Connie Lykins, Steve and Sue Johnson, Stephen and Carol Thatcher, Mark and Lisa St.Clair, Roy and Sue Adkins, Ronnie Anderson, Doug Ford, Fred Tracy, Jean McCarty, Dan Hildebrecht, Fay Cline, Cheryl Jennings, Terry Parker, Sue Eldridge, Jerry Bullis, Bill Christman, Nancy Mays, Jim Tutt, Tyler Lucas, Terry Green, and Melissa Cooper.

SECRETARY’S REPORT
The report was read in to the official March meeting minutes. Lisa St.Clair made a motion to accept the report as read. Sue Johnson seconded the motion, which passed by unanimous consent.

TREASURER’S REPORT
The CMF maintains a balance of $18,809 with $5,000 earmarked for the purchase of pews for select churches in Haiti. Mark St.Clair made a motion to accept the report as read. Dan Hildebrecht seconded the motion, which passed by unanimous consent.

OLD AND UNFINISHED BUSINESS
Ed Lykins read e-mail messages, dated Feb. 20 and Feb. 24, from Sainsurin Baptiste. The Haitian minister expressed his gratitude for all the work the Lord has does through the CMF. He and the church family are very grateful for each blessing they receive, giving all the glory and praise to the Lord. He also provided an update on continuing church maintenance relative to the installation of doors and windows and other work projects.
The exchange of information is part of an agreement made with Sainsurin after the CMF provided him with $5,000 to finish various work projects.

Separately, Nomination Committee Chair Lisa St. Clair reported on her committee’s efforts to identify individuals to fill the positions of Treasurer, Secretary, and one Board of Director’s position. A list of candidates was presented to those present. A vote will be taken at the April meeting.

Reimbursement requests for select inoculations was discussed. Any missionary who was required to pay for his or her vaccination should contact Steve Johnson to discuss the matter.

The 2010 work trip was the central focus of discussion: Prior to the meeting, White Fields Founder Reggie Thomas talked with Ed Lykins about Jean-Raymond’s church building – the oldest Christian church in Gonaives, Haiti. The church, which was extensively damaged during the September 2008 floods, was one of many sites visited by the missionaries in February. Having viewed the site, missionaries have a much better understanding of the scope of work.

Relatedly, Thomas also shared information about a church group from California who is interested in building a church in Haiti and to work with a missionary to coordinate the trip. Thomas asked Ed Lykins whether he would be willing to lead the project, which would become a joint initiative between the Fellowship and the California-based group.

With this in mind, Ed Lykins made a motion to designate Jean-Raymond’s church as the Fellowship’s 2010 work project. A vote was taken, and the motion carried. With the matter decided, Lykins, via Thomas, will engage in additional discussion with the California-based group to determine the financial and human resources they are willing to dedicate to the project. Such knowledge will make a difference as the CMF begins planning the renovations to Jean-Raymond’s church in 2010. Pray for God’s guidance, wisdom, and help in every aspect of planning for this work.

Separately, the group discussed whether to include a youth initiative as part of the 2010 work  project in Gonaives: Specifically, younger missionaries would assume responsibility for building church pews. John Hendrix is spearheading the work project; feel free to contact him for additional information.

Joe Green and Bill Fudge, who support Salonique Adolphe’s Living Water Church and school in Gonaives, Haiti, have exchanged information with Ed Lykins. Lykins reported Mr. Fudge intends to ship large crates of tools and other equipment to Minister Adolphe, who provided transportation assistance to the CMF in February. Future CMF work projects would benefit significantly from a welding machine, and this opportunity may present the best method for shipping one to Gonaives; renting a welding machine in Haiti earlier in the year was very costly. The missionaries intend to discuss the matter in additional detail.

NEW BUSINESS
Carol Thatcher provided information about selling ads in Seaman for the Adams County Crossroads magazine. Ads will be sold for $50 with $25 to be donated to the CMF for coordinating the project. After discussing the matter, Carol Thatcher made a motion to accept the project. Jim Tutt seconded the motion, and it was passed by unanimous consent. Seaman-based businesses will be divided amid those willing to participate in the fundraiser in an effort to complete the project as quickly as possible.

The annual benefit dinner, scheduled for June 27, was discussed. Previously, a hog roast and corn hole tournament was offered; however, the group thought it appropriate to determine whether this is the best and most economical way to raise much needed funds. The idea of offering pork tenderloin sandwiches as opposed to a hog roast was presented as it would eliminate the cost of having to purchase and process a hog and then to purchase the materials necessary to roast it. Additionally, it requires considerable time to prepare, cook and serve the meat.

Frying tenderloin offers a less time-consuming, cheaper option. Fay Cline made a motion to offer pork tenderloin sandwiches rather than roasted pork. Cheryl Jennings seconded the motion, which passed by unanimous consent.

Finally, the group acknowledged the cost of attending a missionary trip, which must be paid, in its entirety, by the missionary, presents a financial hardship. Thusly, should any contributor seek to donate to a specific area of the CMF, such as in-country transportation, he or she should stipulate the same when making a donation by notating it in the memo section of a check or attaching a note to the gift.

linebkrnd The February 2009, CMF meeting was held at the Bethlehem Church of Christ with Dennis Forsythe giving the opening prayer. SECRETARY'S REPORT
On Feb. 11,2009 in Goniaves, Haiti, 14 Fellowship missionaries met in special session to discuss the completed church roof project and other needs at the work site; a report of the special session as well as the January meeting report were read into the official February minutes. Steve Johnson made a motion to accept both reports as read. Mark St. Clair seconded the motion; the motion passed by unanimous consent.

TREASURER'S REPORT
Steve Johnson reported a balance of $18,036.17 in the CMF account.  Carol Thatcher made a motion to accept the report as read. Lisa St.Clair seconded the motion; the motion passed by unanimous consent.  

OLD AND UNFINISHED BUSINESS
The 2009 Haiti Missionary Trip was discussed with trip pictures, experiences, and sentiments shared with the group. Information about addition needs in Haiti, although at different church sites in Gonaives, were discussed. While in country, the group saw how previous flood waters have damaged many of the church buildings: Because church pews were washed away, many parishioners must furnish seating; thusly, the group discussed the need for pews and additional church furniture.

The group determined it would cost approximately $5,000 to replace the pews; the estimate was based on the cost of materials used during the February 2009 work project. Steve Johnson made a motion to set aside $5,000 to build pews for select churches in Haiti. Cheryl Jennings    seconded the motion which passed by unanimous consent.

NEW BUSINESS

The 2010 Work Trip will be formally discussed at the next meeting.  Each members was encouraged to brainstorm trip ideas for discussion and consideration. Any approved trip must comport with the CMF Bylaws that state, “ … the work project will be primarily to build or repair church buildings or buildings connected with a church function.”       

The CMF Annual Election Meeting is scheduled for April. The Nomination Committee is comprised of Chair Lisa St. Clair, Fay Cline, and Jerry Bullis and will seek to fill positions of Secretary, Treasurer, and one (1) board member.  

The Sardinia Church of Christ was asked to determine whether one of their members would be interested in filling the open Board of Director’s position. If so, each affiliated church would be represented on the Board. To be eligible, a Board candidate must have participated in at least one CMF mission trip.
  
Carol Thatcher made a motion to adjourn the meeting with Fay Cline offering a second; the motion passed by unanimous consent. Steve Johnson offered the closing prayer.

linebkrndThe Jan. 13, 2009, CMF meeting was called to order at 7 p.m.; the meeting was held at Ed Lykins’ Peebles workshop. Fellowship members in attendance included: Steven and Sue Johnson, Ed and Connie Lykins, Mark and Lisa St. Clair, Terry and Marilyn Parker, Josh and Christine Souder, Clarine Tracy, Fay Cline, Cheryl Jennings, Carol Thatcher, Ronnie Anderson, Nancy Mays, Jim Tutt, Dan Hildebrecht, Denzel Anspach, and Doug Ford. The opening prayer was given by Dennis Forsythe, and Fellowship Treasurer Steven Johnson read Proverbs 16:3-4. “Commit to the LORD whatever you do, and your plans will succeed.” What a wonderful verse of encouragement while we embark on the work of the LORD.

SECRETARY REPORT

Secretary Carol Thatcher read the report. Sue Johnson made a motion to accept the report as read; Mark St. Clair seconded the motion. The measure passed by unanimous consent.

TREASURER’S REPORT
Treasurer Steve Johnson’s report included an overview of the bills that have been paid as well as donations that have been received. As of Jan. 13, the bank balance is $9,752.72. Fay Cline made a motion to accept the report as read; Terry Parker seconded the motion. The measure passed by unanimous consent.

OLD AND UNFINISHED BUSINESS:

Fellowship President Ed Lykins began the discussion with an overview of the most recent email received from his contacts in Haiti. Although some outstanding issues remain, everything should be in place such that the group can begin its work on constructing the church roof upon arrival.
 
The group also discussed last-minute concerns regarding how to pack for the two-week trip as well as how much money individuals should take into Haiti.

Finally, the group discussed who would be driving them to and from the Columbus Airport on Jan. 30.

ADJOURNMENT
Member Nancy Mays made a motion to adjourn the meeting; Jim Tutt seconded the motion, and the measure passed unanimously.

The next Fellowship meeting has been scheduled for Tuesday, Feb. 17, at the Bethlehem Church of Christ at 7 p.m. to accommodate the group’s Jan. 30 to Feb. 14 trip to Haiti. All members are encouraged to attend to receive first-hand accounts of the group’s trip.
